Club Affiliation, Registration, and Insurance
- All Organizations
- Club affiliation is $100 per year.
- All member organizations must make sure all business and governing documents are kept up to date and readily available. The list of requirements below must be available upon request from Soccer Maine, and be submitted a minimum of every 4 years:
- Non-Profits: Bylaws and Constitution (individual or combined documents)
- For Profit: Operating Agreement and Constitution

- Articles of Incorporation
- Proof of being officially registered with the State of Maine as an entity and up to date on reports (recent Annual Report)
- Organizational Policies, Procedures, Rules
- IRS Tax ID Number
- Proof of having a business checking account
- Notice to New Organizations
- Starting a new youth soccer organization is a huge commitment. It’s not as easy as getting a group of interested parents and players together, picking out a name, collecting some money, putting together kits, and taking to the fields. New clubs should be started with a lot of serious thought and purpose.
- New youth soccer organizations that wish to be affiliated with Soccer Maine must submit the New Club Affiliation form along with the above items to the Executive Director along with the club affiliation fee of $100 in order to be considered for affiliation.
- Should the organization’s documentation be deemed acceptable, the organization will then be presented to the Soccer Maine Board of Directors for final approval, upon which it will receive written notice. Failure to provide any of the requirements noted above will result in a delay to the acceptance process.
- In addition to required documents and proofs, the club President/Owner will have a phone or in-person interview with the Executive Director. This is generally a two-month process for planning purposes.
- All clubs should be setting up yearly Registration programs in their club accounts for classic players, premier players or recreational players. Ideally, these should be separate programs if you register more than one type of player. If you do not know how to do this, please contact Soccer Maine at 207-239-7834.
- When registering your players, please make sure that all necessary information is in the player registration – legal name, jersey number, birthdate, address, phone number, and email address. Missing information will hold up the issuance of league rosters.
- Additionally, all coaches, assistant coaches and team managers must be registered with full information, regarless of level, including legal given name, and must complete a background check and complete SafeSport training. Completed background checks and SafeSport Certification take 24-72 hours to link up. SafeSport training must be done in your legal given name, not including your middle name, and must match your name in Got Sport. If you have used a nickname in Got Sport and then complete your Safe Sport training using your legal name, it is not going to link. Both should be your legal given first and last names. These requirements can holdup the issuance of rosters for league play if not completed correctly. No coach, at any level, should be on the field with players in any capacity if they have not completed all risk management requirements.
- For classic and premier players, once your players and coaches are registered and placed on teams in your club account, you then need to submit these registrations to Soccer Maine through your GotSport account. Follow these instructions:
- 1) Go to your Dashboard, then Teams. In the menu at the top, click “Registration”. Scroll to find the event that you wish to register your teams in. Click that event, and your teams that are eligible to register in that event will appear.
- 2) Click the box next to the teams to register, and then click the blue Registration button at the top of the section.

- All Player, Coach and Manager Registration and Risk Management links are through our registration database
- Risk Management approval is required of any adult. Coaches and team managers cannot be added to rosters without first completing a background check, Safe Sport training and Heads Up concussion training and having that background check approved. At the recreational level, all coaches must complete all risk management requirements and be submitted to Soccer Maine with the recreational players.
- INTERNATIONAL CLEARANCE
- Players born outside the U.S.
- FIFA requires all players over the age of 12, regardless of their citizenship or ability, to receive an international clearance (ITC) from their former country when they are registering to play soccer in a different country (i.e. the United States). U.S. Soccer is responsible for obtaining that ITC on behalf of all players in the U.S. participating in affiliated leagues. Please click here for more information and instructions.
- Proof of Insurance
- Certificates of Insurance are renewed on September 1st each year on behalf of our member clubs to property owners to cover our members use of their property for sanctioned Soccer Maine activity. If a Soccer Maine Member Club has previously had Certificates of Insurance issued to property owners for use of playing fields, then new Certificates will automatically be re-issued. All are listed as additional insured unless specified by the entity that they want to be a “Certificate Holder”.
- To request proof of insurance for facility owners who have not previously received a Certificate of Insurance from Soccer Maine, please provide the following information:
- Exact name of the insured–town, school district, or other.
- Correct address of the insured.
- Contact name and e-mail address for the insured.
- Name of field(s)/facility to be used.
- Contact name and e-mail address for the Member Club.
- Medical Claims
- Soccer Maine’s Health Insurance provides secondary coverage to properly registered active members. To file a claim please click here for the K and K Insurance form.. Soccer Maine must validate and approve all claims prior to the claim being sent to our insurance carrier. Once you have completed the claim form, please sign and send to Soccer Maine, P.O. Box 327, Windham, ME 04062. Soccer Maine will forward the claim to our insurance carrier upon our approval. Once the form is in the hands of our insurance carrier, all communication will be between you and the insurance carrier.
